Responsibilities
- Receive, distribute, and process incoming mail, faxes, and checks.
- Prepare and send marketing materials, fair kits, and welcome packages.
- Track inventory for marketing materials and notify the Marketing team when supplies are low.
- Pick up and drop off mail at USPS as needed.
Transcript & Visa Processing
- Process incoming visa letters and foreign transcripts.
- Assist with batch visa processing and send transcripts to U.S. universities.
- Respond to urgent requests for transcripts, visa letters, and file retrieval.
Office Organization & Technology Management
- Maintain office tidiness, stock levels, and oversee outsourced maintenance staff.
- Manage office technology, including routers and hardware/software assets.
- Perform miscellaneous tasks and errands as needed.
Event Coordination
- Organize office events, supply arrangements, and visitor coordination.
- Arrange transportation, catering, and logistics for office gatherings and holiday celebrations.
- Represent CEA CAPA at local study abroad fairs.
Requirements
- Some college education (junior status or Associate’s Degree preferred).
- Excellent computer skills (Google Suite, Microsoft Office; HubSpot and Salesforce a plus).
- Legal ability to work in the U.S. without sponsorship.
- Reliable transportation for errands and ability to lift/move up to 25 lbs.
- Willingness to undergo a background check.
